RATES
All rates are quoted in U.S. dollars (unless otherwise specifically stated) and include all current taxes. City Tours USA reserves the right to modify published rates due to changes in the local taxes, availability and blackout dates sent by the hotels. In that case City Tours USA will notify the change through our Website or via email “Important”. There are Special Events and Holidays during which City Tours USA may have obtained availability at higher rates than the ones published and such occasions we will inform at the time of booking.
Transfers and Attractions – Are net during the validity of the program.
FIT Hotels – Are commissionable during the validity of the program as per conditions stipulated in our contract at the time of opening an account with City Tours USA.
Packages, Fly and Drive Programs and Schedule Motorcoach Departures - Are commissionable during the validity of the program as per conditions stipulated in our contract at the time of opening an account with City Tours USA.
BOOKINGS ACCEPTANCE AND PROCEDURES
City Tours USA will not process any booking request without having opened an account with us. In such case we will require the client to complete a credit application providing a minimum of 3 business references within USA and Canada. After the application has been received, we will process it and inform to the client the conditions that will be working under. To open an account please contact Operez@citytours.com.

Every reservation booked through www.citytoursonline.com will be considered definitive. All reservations will be confirmed under RQ status unless credit has been established with City Tours USA where the reservation will be KK. Every reservation under RQ needs to be prepaid 7 days before day of arrival to avoid cancellation of the booking.
Important Information – Reservations Codes – The following conditions will apply based on the reservation status
KK – Reservation is confirmed but is the client’s responsibility to cancel it before the cancellation period to avoid fees. The client will be able to cancel the reservation online and will be informed if any fee has incurred at the time of the cancellation.
RQ – (Via Email or Fax) – If the Service or Hotel requested is not available at the published rate City Tours USA will confirm it at higher rate or will offer an alternative. In such cases City Tours USA will require a reconfirmation within a time frame and the client will be able to accept or cancel within that period through our online system.
RQ – (Via Online) – This condition applies for clients who prepaid all services – All the reservations will be confirmed but City Tours USA must received the payment 7 days before the first day of service confirmed.
QY – We use this code for any inquiry or quotation – Nothing is confirmed under this code.
XA/XC – Reservation will be changed to this code when the client requested the cancellation of the services or City Tours USA didn’t receive the payment on time. A number will be issued for any future claims.
Vouchers – City Tours doesn’t provide vouchers – Is the client’s responsibility to provide the guest with the voucher.
Vouchers Inclusions:
For FIT’s and Fly and Drive – Hotel Name – Address – Our Booking Number – Passenger Names – Arrival and Departure Date – Room Type – Booked and Paid by City Tours USA – 299 Murray Hill Parkway, E Rutherford, NJ 07073 – Tel: 201-939-4154.
City Tours USA will provide with Travel Documents containing a detailed itinerary including:
- Driving directions to all towns/hotels included in the program
- A descriptive itinerary
- Maps
- Coupons and Brochures
Cancellations/Changes/Refunds Policy – All cancellations must be done in writing, we do not accept cancellations over the phone. City Tours USA reserves the right of charging the client for any cancellation fee that has incurred at the time of the cancellation. If the guest cancels any service or hotel while traveling it is mandatory that they obtain a cancellation number from the Tour Operator or Hotel and we reserve the right to charge an administration fee for every change made. For all the cancellations made through our online reservation system City Tours will cancel all the services and inform via email if any fee has incurred. If City Tours USA doesn’t receive the payment for these fees, we reserve the right to cancel any future bookings. All requests for refunds needs to be done within 45 days after the departure date, City Tours will not accept any refund request after this period without exception. All name changes within 30 days of the day of arrival must be sent to our reservations dept. If our supervisors noticed that the client requested several times to change the name for the same reservation we reserve the right to request prepayment for that specific booking. City Tours USA doesn’t guarantee that the hotel will accept the name changes.
Cancellations Charges:
Certain properties require different policies than listed below; please review them through our online reservation system. If no mention is made on our website the following will apply.
FIT HOTELS
More than 7 days – No Charge
7 to 4 days - $ 25.00
3 to 0 days - $ 25.00 plus applicable hotel charges
FLY AND DRIVE
More than 30 days – No Charge
30 to 7 days - $ 100.00
6 – 0 day - $ 100.00 plus applicable hotel charges
COACH TOURS
More than 30 days – No Charge
30 to 15 days - $ 100.00
14 to 7 days - $ 150.00
6 to 1 day - $ 150.00 plus applicable hotel charges
No show – Full charge
No Shows - All No Shows will incur a fee of one night minimum depending on the Hotel conditions. If City Tours USA does not receive payments for these fees we reserve the right to cancel any future bookings until payment is received by our Accounting Dept.
Groups - Every time a group is confirmed our Groups Dept. will inform the client the conditions for each specific group and those conditions must be followed to avoid either attrition or cancellations fees. In order to confirm a group City Tours USA will request a deposit to guarantee the space. If the deposit is not received by the time stipulated by our Groups Dept. City Tours will not be responsible if the hotel release the space. Every group has to be prepaid 15 days before day of arrival. Credit privileges apply for individual bookings only. Under no circumstance City Tours USA will accept group bookings through our online reservation system. If a group booking is made online we reserve the right to cancel all the services without previous notice.
Accommodations - City Tours USA contract rooms on a run of the house basis and does not guarantee bedding type. Hotels do not generally guarantee a separate bed for Triple/Quad occupancy rooms. Childs must share the room with 2 adults with existing bedding type. Rollaways are usually available for an extra charge that is being paid by the guest directly to the hotel.
Travel Documents - Is the traveler entire responsibility for obtaining all the pertinent travel documents complying with customs, and the laws of place to which they are traveling. City Tours USA is not responsible for any charge that may be imposed by any government entity.
PAYMENT POLICY
Except for Groups payment in full must be received 7 days prior to arrival date of the booking to avoid cancellation unless credit terms has been established with us. For clients with credit established all the invoices must be cancelled within 30 days, after the 31 day a monthly finance charge of 1.5% will apply. In order to avoid bank fees City Tours request that all the payments should be made with checks in USD Dollars against to an U.S. Bank. All the wire transfers will have a surcharge of USD 38.00, checks against foreign banks could have a surcharge of up to USD 100.00. For wire tranfers, please contact Oscar Perez for details.
Deposits - Due to hotels high demand City Tours USA could request non- refundable deposits to guarantee reservations. If such deposits are not received within the stipulated time all the reservations will be cancelled automatically. If the client wants to reinstate the bookings we will inform about the new conditions.
RESPONSIBILITY
City Tours USA acts as an intermediary only between travelers and service providers such as Hotels and therefore assumes no responsibility or liability for injury, damage, loss, accident delay or irregularity which may be caused through the acts or omissions of any company or person involved in providing the services arranged by City Tours USA. City Tours USA reserves the right to substitute any hotel for equal or higher quality.
